Meeting Minutes June 14, 2010

President Damon Smith called the meeting to order at 7 p.m. at the Pomme de Terre Lake Area Chamber Office.

The Agenda was approved. Motion by Melissa, seconded by Victor.

Minutes were read and approved as amended. Motion by Gary, Second by Nancy.

Treasurer’s report was presented by Earle Hammond. Checking account balance was $9773.59 Building fund was $8226.86 and $5561.52 in the Savings Account. The report was filed for audit.

The President’s Report was given by Damon Smith. An article on the Lake was published in the Ozarks Splash. He asked Earle to get prices for advertising at KJEL to be sent to board members by e-mail. The Lions’ Club will be contacted for possible advertising for Fireworks over the Water. A letter was received from West Central MO committee Action Center about Back to school supplies. Motion made and passed to donate $100 to the program. Gary inquired about the Back Pack Program. It is being run by the schools with local church help.

Membership report was given by Gary Neely. The chamber has six renewals so far for the 2011 calendar year. Renewals are requested in this manner because of the Vacation Guide publication. Reminders for renewal will be sent out by e-mail to members with current addresses.

OLD BUSINESS

Earle reported that the Sports Show forms will be sent out shortly for the next events Chamber members will be attending.


Vince reported that the Website is up to date with the link to Show Me Heroes. The server migration is complete. The site had 5200 visitors in May. Earlier numbers are not available due to the migration of the site. Gary sent pictures for the site that will be up soon.

The new monitor donated by Chip Shaddox for the Chamber office is working. The printer Gary donated is ready to be installed.

Vince reported that he has received more inquiries on the Fall Festival. Vince discussed running an ad in the local newspaper or Buyers’ Guide. Flyers will be passed out at Market Days. Relay for Life will host the concession stand for the event.

Bids for gathering information for the Vacation Guide were opened. The bid was awarded to Earle Hammond and Karolyn Dunning.

Jim McCarty gave a final report on Fireworks Over the Water. The Regatta Marine Permit is filed at the Chamber Office. Information has been sent to the Highway Patrol. There will be no Military Fly Over. American Profile Magazine published the Fireworks Over the Water Event this month. The Special Event Contract is signed and filed with the Corps of Engineers. The Hermitage Cheerleaders and Weaubleau FFA will be selling ice cream and soft drinks. The treasurer was directed to purchase Caution Tape for the event. Volunteers are needed Sunday Morning, July 4 to pick up trash. They are asked to meet at 8 a.m. at the Dam and bring, trash bags, rakes and gloves. Other volunteers are to meet at the shelter at 6 p.m.

Gary asked for volunteers for Fireworks Over the Water to walk around with donation cans for the event.

Nancy read a Thank You letter sent by Teana Nicole Coffey for the Scholarship. She also told the members of a letter received from Skyline school asking that we designate the Scholarship money to purchase books as Teana’s tuition is fully paid. Earle made the motion, Mabel seconded it. Motion passed.

Earle told the chamber members that twenty children took part in this year’s Kids Fishing Day. Every child received a prize for their fishing efforts. Plans are in the works for advertising for next year. It was suggested that we join that advertisement with the one planned for the Fall Festival.

The Fly Over for new Vacation Guide pictures was postponed due to the high water. New plans are in the works for when the lake returns to normal level.

Melissa reported that the fundraiser at the Lucas Oil Speedway has been rescheduled for August 21. Volunteers need to be at the racetrack by 4:45 p.m. on that day.

Melissa was asked to give a presentation on the Hermitage Vision Committee at the next meeting

Chip Shaddox told the members that the new store, ALPS, is scheduled to open in June 23. The Grand Opening will be held at a later date.

Gary made the motion to adjourn with second by Earle. Motion carried.

Meeting adjourned at approximately 8:15 p.m.
